Buying bakery equipment is one of the biggest decisions you'll make when starting or growing a bakery. Get it right, and you'll have reliable equipment that lasts 15-20 years and helps you make great bread every single day. Get it wrong, and you'll be stuck with machines that break down constantly, produce inconsistent results, and cost you thousands in repairs and downtime.
We've been selling bakery equipment for 7 years, and in that time we've helped hundreds of customers choose the right equipment for their bakeries. We've also seen the mistakes people make - the ones that cost them money, time, and sleep.
This is the buying guide we give our friends when they ask us for advice. No sales pitch, no upselling, no marketing fluff - just the honest truth about what to look for, what to avoid, and how to get the best value for your money.
Step 1: Know what you need before you start shopping
The biggest mistake people make when buying bakery equipment is starting to shop before they know what they actually need. They see a shiny machine on a website, or they get a recommendation from a friend, and they buy it without thinking about whether it's the right size, the right type, or the right price for their specific situation.
Before you look at a single machine, sit down and answer these questions:
What products are you making? This seems obvious, but you'd be surprised how many people buy equipment without being clear about what they're actually going to bake. A bakery that makes only bread needs different equipment than one that makes only cakes, and a bakery that makes both needs yet another setup. Write down every product you plan to make, and note the dough weight, baking temperature, and baking time for each one.
How much are you making? This is the most important question for sizing your equipment. Calculate your production volume - how many pieces of each product do you make per day? How many days per week do you bake? How many hours per day do you run each machine? Be realistic - don't plan for the volume you hope to have in 5 years, plan for the volume you actually have now, plus 20-30% for growth.
What's your budget? Be honest with yourself about how much you can actually spend. And remember - the equipment price is only 70-80% of the total cost. You'll also need to pay for shipping, import duties and taxes, installation, initial spare parts, and training. Budget 20-30% extra on top of the equipment price for these hidden costs.
What utilities do you have? Before you buy any equipment, check the electrical and gas service at your location. What voltage do you have (220V single-phase, 220V three-phase, 380V three-phase)? How many amps do you have available? Do you have gas service, and if so, what's the capacity? There's nothing worse than buying a beautiful new oven only to discover your electrical service can't handle it. Measure twice, buy once.
What space do you have? Measure your space carefully. How much room do you have for each machine? Don't forget to leave space for the operator to work, for doors to open, for trays to be stored, and for cleaning. A machine that fits perfectly in the showroom might not fit in your bakery with all the other equipment. And don't forget about ceiling height - some ovens and proofers are taller than you think.
Once you've answered all these questions, you'll have a clear picture of what you need. Then, and only then, should you start shopping for equipment.
Step 2: Choose the right type of equipment for your products
Once you know what you're making and how much you're making, you can start choosing the right type of equipment. Here's what we recommend for the most common bakery products:
If you make bread and rolls
Bread and rolls are the most common bakery products, and they require the most equipment. Here's what you'll need:
- Spiral mixer: The best type of mixer for bread dough. Spiral mixers develop gluten better than planetary mixers, and they don't overheat the dough. Size it based on your flour capacity - a 40L mixer handles about 15-20kg of flour per batch, a 60L handles 25-30kg.
- Dough divider-rounder: Essential for consistent piece weights and shapes. For small bakeries, a manual or tabletop semi-automatic is fine. For medium bakeries, a vertical semi-automatic is the sweet spot. For high volume, go fully automatic with PLC control.
- Proofing cabinet: Don't skip this. A proofer gives you consistent temperature and humidity, which means consistent proofing and consistent bread. For most bakeries, a single-rack proofer (36-40 trays) is enough.
- Deck oven or rotary oven: For bread, a deck oven with steam injection is the traditional choice and gives the best crust. For higher volume, a rotary oven is more efficient and consistent. If you make a lot of bread, go with a rotary oven. If you make a variety of products including bread, a deck oven is more versatile.
- Bread moulder (optional): If you make toast bread or baguettes, a moulder will save you a lot of time and give you consistent shapes. Not needed if you only make rolls and artisan breads.
If you make pastries and croissants
Pastries and croissants require different equipment than bread. The key difference is the sheeter - you can't make croissants without one.
- Planetary mixer or spiral mixer: For pastry dough, a planetary mixer is more versatile because you can use it for creams, fillings, and cake batters as well. But if you make a lot of croissant dough, a spiral mixer is better for developing the dough properly.
- Dough sheeter: Essential for laminated doughs (croissants, puff pastry, danish). For small bakeries, a tabletop sheeter (400-500mm width) is fine. For medium bakeries, a floor sheeter (500-650mm) is better. For high volume, consider an automatic laminator.
- Proofing cabinet: Pastries need a slightly lower proofing temperature than bread (28-32°C vs 32-38°C) to prevent the butter from melting. Make sure your proofer can maintain a consistent temperature in this range.
- Convection oven or deck oven: For pastries, a convection oven gives you even baking and good color. For croissants, a deck oven with steam is traditional and gives the best results. If you make both bread and pastries, a deck oven with steam is the most versatile.
- Cooling rack: Pastries need to cool properly before they're packed or displayed. A good cooling rack allows air circulation around the pastries, which prevents sogginess.
If you make cakes and desserts
Cakes and desserts require yet another set of equipment. The focus is on precision and consistency, not on high-volume dough production.
- Planetary mixer: The best mixer for cakes and desserts. Planetary mixers can handle cake batters, creams, fillings, and buttercream, and they come with multiple attachments (whisk, paddle, dough hook). For most bakeries, a 20-40L planetary mixer is enough.
- Convection oven or combi oven: For cakes, a convection oven gives you even baking and consistent results. For more versatility, a combi oven (convection + steam) can handle cakes, bread, pastries, and even savory items. If you make a wide variety of products, a combi oven is worth the extra investment.
- Cooling rack: Cakes need to cool completely before they're frosted or decorated. A good cooling rack is essential.
- Cake decorating tools: Turntables, spatulas, piping bags and tips, levelers, and other decorating tools. These are relatively cheap but essential for cake decoration.
- Refrigerator and freezer: Cakes and desserts need to be refrigerated, especially if they have fresh cream or fruit. Make sure you have enough refrigeration space for your finished products and your ingredients.
If you make pizza
Pizza is a category of its own, and it requires specialized equipment.
- Spiral mixer: Pizza dough needs good gluten development, so a spiral mixer is the best choice. For most pizzerias, a 40-60L spiral mixer is enough.
- Hydraulic dough divider: Pizza dough is usually divided into larger pieces (200-500g) than bread rolls, and a hydraulic divider is the best tool for this. It gives you consistent piece weights and doesn't overwork the dough.
- Dough sheeter (optional): If you make thin-crust pizza, a sheeter will save you time and give you consistent thickness. Not needed if you hand-stretch your dough.
- Pizza oven: This is the most important piece of equipment for a pizzeria. For traditional Neapolitan pizza, a wood-fired or gas-fired dome oven that reaches 400-500°C is ideal. For American-style pizza, a deck oven that reaches 300-350°C works well. For high volume, a conveyor oven is the most efficient.
- Refrigerated prep table: Pizza toppings need to be kept cold, and a refrigerated prep table gives you easy access to all your toppings while keeping them at food-safe temperatures.
Step 3: Size your equipment correctly
Sizing is the most common mistake people make when buying bakery equipment. Buy too small, and you'll outgrow it in a year and have to replace it. Buy too big, and you'll pay more upfront, use more energy, and the extra capacity will just sit there unused for 3-5 years.
Here's how to size your equipment correctly:
How to size a mixer
Mixers are sized by bowl volume (in liters) and by flour capacity (in kg). The bowl volume is the total volume of the bowl, but the flour capacity is the amount of flour you can actually mix in one batch. Always use the flour capacity, not the bowl volume, to size your mixer.
To calculate the mixer size you need:
- Calculate your total daily flour usage. If you make 1000 rolls at 100g dough weight each, and your dough is 60% flour, that's 1000 × 0.1kg × 0.6 = 60kg of flour per day.
- Decide how many batches per day you want to mix. Most bakeries mix 2-4 batches per day. If you mix 3 batches per day, you need a mixer that can handle 60kg ÷ 3 = 20kg of flour per batch.
- Choose a mixer with a flour capacity slightly above your calculated need. For 20kg of flour per batch, a 60L spiral mixer (which handles 25-30kg of flour) is the right size. Don't buy a 40L mixer (15-20kg) because you'll be maxing it out every batch, which wears it out faster.
And remember - add 20-30% for growth. If you currently need 20kg per batch, buy a mixer that can handle 25-30kg. You'll grow into it, and you won't have to replace it in a year.
How to size a divider-rounder
Divider-rounders are sized by pieces per hour. To calculate the size you need:
- Calculate your total daily pieces. If you make 1000 rolls and 500 loaves, that's 1500 pieces per day.
- Decide how many hours per day you want to run the divider. Most bakeries run the divider for 2-4 hours per day. If you run it for 3 hours, you need a divider that can handle 1500 ÷ 3 = 500 pieces per hour.
- Choose a divider with a capacity slightly above your calculated need. For 500 pieces per hour, a tabletop semi-automatic (500-1500 pieces per hour) is the right size. Don't buy a manual divider (300-500 pieces per hour) because you'll be maxing it out and it'll be slow and tiring to operate.
Again, add 20-30% for growth. If you currently need 500 pieces per hour, buy a divider that can handle 800-1000. You'll grow into it.
How to size an oven
Ovens are sized by the number of trays they can hold at once. To calculate the size you need:
- Calculate your total daily trays. If each tray holds 15 rolls, and you make 1500 rolls per day, that's 1500 ÷ 15 = 100 trays per day.
- Calculate your baking time. If your rolls bake for 15 minutes, and you allow 5 minutes for loading and unloading, that's 20 minutes per batch, or 3 batches per hour.
- Decide how many hours per day you want to run the oven. Most bakeries run the oven for 4-8 hours per day. If you run it for 6 hours, you can bake 6 × 3 = 18 batches. If each batch holds 8 trays, that's 18 × 8 = 144 trays per day. So an 8-tray oven (2-deck, 4 trays per deck) is enough for your 100 trays per day.
- Choose an oven with a capacity slightly above your calculated need. For 100 trays per day, a 2-deck oven (8 trays) is the right size. Don't buy a 1-deck oven (4 trays) because you'll be running it constantly and you won't have any flexibility.
And as always, add 20-30% for growth. If you currently need 8 trays, buy a 12-tray oven (3-deck). You'll grow into it.
How to size a proofer
Proofers are sized by the number of trays they can hold. To calculate the size you need:
- Calculate how many trays you need to proof at once. This depends on your production flow. If you divide 100 trays worth of dough in the morning and then bake them throughout the day, you need a proofer that can hold all 100 trays at once. If you divide and bake in smaller batches, you need a smaller proofer.
- Most bakeries find that a proofer that holds the same number of trays as their oven (or slightly more) is the right size. If you have an 8-tray oven, a 36-40 tray proofer (one rack) is usually enough. This gives you enough space for several batches of dough to proof while you're baking other batches.
When in doubt, go slightly bigger on the proofer. It's relatively cheap compared to other equipment, and having extra proofing space gives you flexibility in your production schedule.
Step 4: Evaluate the quality and build
Once you know what type and size of equipment you need, it's time to evaluate the quality and build of the machines you're considering. This is where a lot of people get confused - two machines can look identical on the outside but be very different on the inside.
Here's what to look for:
Materials
Stainless steel grade: Most bakery equipment is made of stainless steel, but not all stainless steel is the same. 304 stainless steel (also called 18/8) is the food-grade standard - it's durable, corrosion-resistant, and easy to clean. 201 stainless steel is cheaper but less corrosion-resistant - it will rust faster, especially in a humid bakery environment. Always ask what grade of stainless steel is used, and insist on 304 for all food-contact surfaces.
Thickness: The thickness of the stainless steel matters. Thin steel dents and warps easily, especially when heated. Look for at least 1.0mm thickness for body panels, and 1.5-2.0mm for high-stress areas like the oven chamber and mixer bowl. If you can, press on the panels with your finger - if they flex easily, they're too thin.
Bearings and motors: These are the heart of any machine, and they're where manufacturers cut corners to save money. Look for reputable brand bearings (SKF, NSK, FAG) and motors with a good warranty. Avoid machines with no-name bearings and motors - they'll fail sooner, and you might not be able to find replacement parts.
Belts and chains: Look for industrial-grade belts and chains from reputable manufacturers. Cheap belts stretch and break, cheap chains wear out and skip. Ask what brand of belts and chains are used, and whether they're readily available as spare parts.
Seals and gaskets: These are small but important. Good quality seals keep dough, flour, and water out of moving parts, which prevents premature wear. Look for food-grade silicone or EPDM seals. Avoid machines with cheap rubber seals - they'll harden and crack in a year or two.
Construction
Welding: Look at the welds on the machine. Good welds are smooth, continuous, and polished. Bad welds are rough, uneven, and have gaps or holes. Poor welding can lead to structural failure and can harbor bacteria in the gaps. If the welds look bad on the outside, the construction on the inside is probably even worse.
Fasteners: Look at the screws, bolts, and nuts used to assemble the machine. Good machines use stainless steel fasteners throughout. Cheap machines use zinc-plated or even plain steel fasteners, which will rust in a humid bakery environment. If you see rust on the fasteners of a new machine, that's a bad sign.
Fit and finish: Open doors, pull out drawers, move levers and knobs. Everything should move smoothly and fit properly. Doors should seal tightly, drawers should slide easily, knobs should turn smoothly. If something feels loose, sticky, or misaligned on a new machine, it's only going to get worse with use.
Electrical: Look at the electrical components. Good machines use reputable brand contactors, relays, and switches. The wiring should be neat, properly insulated, and secured with cable ties. The control panel should be clearly labeled and easy to understand. Avoid machines with messy wiring, unlabeled controls, or no-name electrical components - they're a fire hazard and a maintenance nightmare.
Performance
Actual capacity vs marketing capacity: Every manufacturer lists a capacity number for their machines, but these numbers are often optimistic. A divider rated at 3000 pieces per hour might only achieve that in ideal conditions with perfect dough and an experienced operator. In real-world use, you'll probably get 60-80% of the rated capacity. When comparing machines, assume you'll get 70% of the rated capacity, and choose accordingly.
Accuracy and consistency: For dividers, the most important performance metric is piece weight accuracy. A good divider should get every piece within ±2-3% of the target weight. For ovens, the most important metric is temperature consistency - the temperature should be the same throughout the oven chamber, and it should recover quickly after you open the door. Ask the manufacturer for actual performance data, not just marketing claims.
Energy efficiency: Bakery equipment uses a lot of energy, especially ovens. An energy-efficient oven will save you money every month on your utility bills. Look for ovens with good insulation, efficient heating elements, and tight door seals. The extra cost of an energy-efficient oven will usually pay for itself in 1-2 years of lower utility bills.
Noise level: Bakery equipment can be loud, and working in a noisy environment for 8 hours a day is not good for your hearing or your stress levels. Look for machines with noise-reducing features like insulated motor covers, vibration dampeners, and quiet motors. If you can, see and hear the machine running before you buy it.
Step 5: Evaluate the supplier
The machine is only half the equation. The supplier is the other half, and in many ways, the supplier is more important than the machine. A good supplier will help you choose the right equipment, answer your questions, provide training and support, and send you spare parts quickly when you need them. A bad supplier will take your money and disappear, leaving you stuck with a broken machine and no way to fix it.
Here's how to evaluate a supplier:
Experience and reputation
How long have they been in business? A supplier that's been in business for 5+ years is more likely to be around in another 5 years when you need spare parts or support. Avoid suppliers that just appeared on the market last year - they might be here today and gone tomorrow.
Do they specialize in bakery equipment? A supplier that sells everything from construction equipment to office furniture is not going to have the same level of expertise as a supplier that specializes in bakery equipment. Look for suppliers that know bakery equipment inside and out - they'll be able to give you better advice and better support.
Can they provide references? Ask for references from other customers in your country or region. A reputable supplier will be happy to provide references. If a supplier can't or won't provide references, that's a red flag. Contact the references and ask them about their experience - was the equipment good? Was the supplier responsive? Did they get spare parts when they needed them?
What do online reviews say? Search for the supplier's name online and look for reviews, testimonials, and complaints. No supplier is perfect, but if you see a pattern of complaints about the same issue (late deliveries, broken equipment, no response to emails), that's a red flag. Take online reviews with a grain of salt - people are more likely to leave a review when they're angry than when they're happy - but use them as one data point among many.
Communication and responsiveness
How quickly do they respond? Send an email or message and see how long it takes them to respond. A good supplier will respond within 24 hours (usually much faster). If a supplier takes 3-5 days to respond to a sales inquiry, imagine how long they'll take to respond when you have a broken machine and an urgent production deadline.
Do they answer your questions thoroughly? A good supplier will take the time to answer all your questions, even the ones that don't lead to an immediate sale. They'll ask you about your products, your volume, your budget, and your space, and they'll give you advice based on your specific situation. A bad supplier will just send you a price list and try to close the sale as quickly as possible.
Do they speak your language? This is more important than you might think. If you're buying from a Chinese supplier and you don't speak Chinese, make sure they have someone who speaks your language fluently. Miscommunication can lead to ordering the wrong equipment, misunderstanding specifications, and problems with after-sales support. A supplier that can communicate clearly in your language is worth paying a little extra for.
Are they honest about limitations? A good supplier will tell you when their equipment isn't right for your needs. They'll say "this machine is too small for your volume" or "we don't recommend this model for your type of dough." A bad supplier will tell you that their equipment is perfect for everything, even when it's not. If a supplier says "yes" to everything without asking any questions, that's a red flag.
After-sales support
What's the warranty? Always ask about the warranty, and read the fine print. What does it cover? Parts only, or parts and labor? How long does it last? What's excluded? A good warranty will cover parts and labor for at least 1 year, and major components (motors, gearboxes) for 2-3 years. Avoid suppliers with no warranty or a warranty that only covers parts for 3 months.
Are spare parts readily available? This is one of the most important questions to ask. A machine is only as good as the spare parts that are available for it. Ask the supplier: How long does it take to get spare parts? Do you keep common parts in stock? Are parts available for older models? How much do common parts cost? If a supplier can't answer these questions, or if they say parts take 4-6 weeks to arrive, that's a problem. When your machine breaks down, you can't wait 4-6 weeks for parts - you need them in a few days.
Do they provide training and setup support? Most bakery equipment requires some setup and training to use properly. Ask the supplier if they provide setup instructions, operation manuals, video tutorials, or online training. A good supplier will provide all of these, and they'll be available to answer questions after you receive the equipment. A bad supplier will just send you a machine and a one-page manual and expect you to figure it out.
What's their return policy? What happens if the equipment arrives damaged, or it doesn't work as described, or it's the wrong size? A good supplier will have a clear return policy and will work with you to resolve problems. A bad supplier will say "all sales are final" and disappear. Ask about the return policy before you buy, and make sure it's in writing.
Price and payment
Is the price transparent? A good supplier will give you a detailed quote that lists the equipment price, shipping cost, insurance, and any other fees. A bad supplier will give you a low price and then add hidden fees at the last minute. Always ask for a complete, all-inclusive quote, and compare quotes from multiple suppliers on the same basis.
What payment terms do they offer? Most suppliers require a deposit (usually 30-50%) before production, with the balance due before shipment. Some suppliers offer more flexible terms, especially for repeat customers. Be wary of suppliers that demand 100% payment upfront - that's a common scam. And be wary of suppliers that accept only Western Union or MoneyGram - those payment methods offer no buyer protection. Use a credit card, PayPal, or bank transfer (T/T) for better protection.
Is the price too good to be true? If one supplier's price is 30-50% lower than everyone else's, there's usually a reason. They might be using cheaper materials, cutting corners on construction, or they might be a scam. Don't be lured by an unrealistically low price - it will cost you more in the long run. That said, don't assume that the most expensive supplier is the best either. Compare prices, but also compare quality, reputation, and support.
Step 6: Avoid the common mistakes
We've seen every mistake in the book when it comes to buying bakery equipment. Here are the most common ones, and how to avoid them:
Mistake #1: Buying equipment that's too big
This is the #1 mistake. New bakery owners get excited and buy industrial-sized equipment - a 120L mixer, a 4-deck oven, a fully automatic divider - because they think "I'll grow into it" or "it's better to have too much than too little." But the reality is that most bakeries take 3-5 years to grow into that size, and in the meantime, you're paying for capacity you don't use, wasting energy, and tying up capital that could be used for other things.
How to avoid it: Buy for your current volume plus 20-30% growth. Not 200% growth. If you currently need a 60L mixer, buy a 60L or 80L mixer, not a 120L. You can always upgrade later when you actually need the capacity. And remember - it's much easier to upgrade from a smaller machine to a larger one than it is to sell a giant machine you never use.
Mistake #2: Buying the cheapest equipment you can find
The opposite mistake, and almost as bad. Some buyers focus only on price and buy the cheapest equipment they can find, thinking "it all does the same thing, right?" Wrong. A $300 mixer from an unknown brand is not the same as a $1000 mixer from a reputable brand. The cheap one will have thinner steel, no-name bearings and motors, poor construction, and no after-sales support. It might work for 6 months, and then it'll break down, and you won't be able to get parts or support.
How to avoid it: Buy the best quality you can afford in the size you actually need. You don't need to buy the most expensive European brand, but you should buy from a reputable supplier with good reviews and a solid warranty. The extra $500 you spend on a better machine will save you thousands in repairs and downtime over the life of the machine.
Mistake #3: Not checking utilities before buying
We've seen this too many times. A customer buys a beautiful new 380V three-phase oven, gets it delivered, and then discovers their bakery only has 220V single-phase power. Now they have to either pay thousands to upgrade their electrical service, or sell the oven at a loss. It's an expensive mistake, and it's completely avoidable.
How to avoid it: Before you buy any equipment, check your electrical and gas service. What voltage do you have? How many amps? Do you have three-phase or single-phase? Do you have gas service? Write these numbers down and give them to your supplier before you order. A good supplier will tell you if the equipment you want is compatible with your utilities, and they'll suggest alternatives if it's not.
Mistake #4: Forgetting about shipping, duties, and taxes
When you see a price of $5000 for a mixer, that's not the total cost. If you're importing from another country, you'll also have to pay for shipping ($500-$2000), import duties (5-15%), and VAT/sales tax (10-25%). These can add 20-30% to the total cost. We've had customers who budgeted $5000 for equipment and then were shocked when they had to pay another $1500 in duties and taxes before they could take delivery.
How to avoid it: Always ask for a complete quote that includes shipping to your nearest port. Then calculate the duties and taxes for your country (your supplier should be able to help you with this, or you can check with your customs office). Budget 20-30% extra on top of the equipment price for these costs. And if you're buying locally, remember that the price might not include delivery and installation - ask about those too.
Mistake #5: Not asking about spare parts
A machine is only as good as the spare parts that are available for it. We've seen customers buy cheap equipment, use it for a year, and then when a belt breaks or a bearing fails, they discover that the supplier doesn't stock spare parts and the manufacturer has gone out of business. Now they have a $2000 paperweight that can't be fixed.
How to avoid it: Before you buy, ask the supplier about spare parts. How long does it take to get them? Do you keep common parts in stock? Are parts available for older models? How much do common parts cost? If the supplier can't answer these questions, or if parts take 4-6 weeks, look elsewhere. And when you buy the equipment, buy a set of common wear parts (belts, bearings, seals, heating elements) at the same time. Having them on hand means you can fix the machine in an hour instead of waiting weeks for parts.
Mistake #6: Buying from a supplier who disappears after the sale
This is the worst mistake of all. Some suppliers are great at sales - they respond quickly, they give you a good price, they answer all your questions - but once you pay and the equipment is delivered, they disappear. Emails go unanswered, phone calls go to voicemail, and when you have a problem or need spare parts, you're on your own.
How to avoid it: Do your research before you buy. Check how long the supplier has been in business. Ask for references and actually contact them. Search for reviews and complaints online. Pay attention to how they communicate during the sales process - if they're slow to respond or evasive during the sale, they'll be even worse after the sale. And use a payment method that offers buyer protection (credit card, PayPal, or escrow) so you have recourse if something goes wrong.
Mistake #7: Not planning for maintenance
Bakery equipment is not a set-it-and-forget-it purchase. It needs regular cleaning, lubrication, and maintenance to keep running smoothly. We've seen customers buy great equipment, never clean or lubricate it, and then 2 years later it's broken down and they're complaining that the equipment is "cheap" and "doesn't last." The problem isn't the equipment - it's the lack of maintenance.
How to avoid it: Before you buy, ask the supplier for a maintenance schedule for the equipment. Find out what needs to be cleaned, lubricated, and inspected, and how often. Budget time and money for maintenance - plan to spend 5-10 minutes a day on cleaning, and 5-10% of the equipment cost per year on maintenance and spare parts. Step 7: Make the purchase
Once you've done your research, evaluated your options, and chosen the right equipment from the right supplier, it's time to make the purchase. Here's how to do it safely and smoothly:
Get everything in writing
Don't rely on verbal agreements. Get a written quote or proforma invoice that lists: the equipment model and specifications, the price, the shipping terms, the delivery time, the warranty terms, and the payment terms. Read it carefully and make sure everything you agreed on is in writing. If something is not in writing, it doesn't exist.
Pay the deposit
Most suppliers require a deposit (usually 30-50%) before they start production. Pay the deposit using a secure payment method - bank transfer (T/T) is the most common for international orders, but credit card or PayPal offer better buyer protection for smaller amounts. Never pay using Western Union or MoneyGram - those offer no protection and are commonly used in scams. Keep a record of your payment.
Inspect the equipment before shipment
If possible, inspect the equipment before it's shipped. If you can't travel to the factory, ask the supplier to send you photos and videos of the finished equipment, including close-ups of the construction, the brand names of motors and bearings, and the equipment running. This is your chance to catch any problems before the equipment is shipped - it's much easier to fix a problem at the factory than it is to fix it after it's delivered to your bakery.
Pay the balance before shipment
Once the equipment is ready and you've inspected it (or received photos and videos), pay the balance. Most suppliers require the balance to be paid before shipment. Again, use a secure payment method and keep a record.
Arrange shipping and customs clearance
The supplier will usually arrange shipping to your nearest port (if you agreed on CIF or CFR terms) or to your door (if you agreed on DDP terms). If you're responsible for shipping (FOB terms), you'll need to arrange a freight forwarder. Either way, make sure you understand who is responsible for each step of the shipping process, and what documents you'll need for customs clearance (commercial invoice, packing list, bill of lading, certificate of origin, etc.).
Inspect the equipment on delivery
When the equipment arrives, inspect it carefully before you sign for it. Check the packaging for damage. If the packaging is damaged, note it on the delivery receipt and take photos. Open the packaging and inspect the equipment for damage. If you find damage, contact the supplier and the shipping company immediately - you usually have a limited time to file a damage claim. Don't sign for the equipment as "received in good condition" until you've actually inspected it.
Set up and test the equipment
Once the equipment is in your bakery, set it up according to the manufacturer's instructions. If you're not comfortable doing it yourself, hire a professional. Once it's set up, test it thoroughly before you use it for production. Run it empty first, then run a small test batch. First, take your time. Don't rush into a purchase. Spend a few weeks researching your options, talking to suppliers, and visiting other bakeries to see what equipment they use. The more you know, the better decision you'll make. A few weeks of research now will save you years of regret later.
Second, buy from someone you trust. The equipment is important, but the supplier is more important. A good supplier will help you choose the right equipment, answer your questions, provide training and support, and be there when you need spare parts. A bad supplier will take your money and disappear. Don't be afraid to pay a little extra to buy from a supplier you trust - it's worth every penny.
Third, buy the right size. Not too big, not too small. Buy for your current volume plus 20-30% growth.
