I've seen equipment installed incorrectly because the buyer didn't check their electrical capacity before ordering. And I've seen bakeries lose weeks of production because they didn't plan for installation time.

Before You Order: Planning for Shipping and Installation
The most important shipping and installation decisions happen before you place your order. Here's what you need to consider.
1. Check Your Electrical Capacity
This is the #1 mistake international buyers make. They order equipment without checking whether their electrical system can handle it. Commercial bakery equipment often requires 380V three-phase power, but many smaller buildings — especially in residential or mixed-use areas — only have 220V single phase.
Before you order any equipment, answer these questions:
- What voltage does my building have? (220V single phase, 380V three phase, or something else?)
- What's the total amperage capacity of my electrical service?
- Do I have dedicated circuits for large equipment, or do I need to install them?
- Is my electrical panel big enough to add new breakers?
If you're not sure, have an electrician inspect your system before you order. The cost of an electrical inspection ($50-100) is nothing compared to the cost of equipment you can't use, or the cost of upgrading your electrical service after the equipment arrives.
If you don't have three-phase power, you have three options:
- Upgrade your electrical service: This can cost $500-3,000 depending on your location and the capacity you need. It's the best long-term solution if you plan to grow.
- Order equipment that runs on single phase: Many smaller machines (up to 20-30kg mixers, tabletop sheeters, etc.) are available in single-phase versions. They might be slightly less efficient, but they work with standard residential power.
- Use a phase converter: A phase converter converts single-phase power to three-phase. It's cheaper than upgrading your service ($300-800), but it's less efficient and can only power equipment up to a certain size.
2. Measure Your Space
Another common mistake: ordering equipment that doesn't fit through the door or in the available space. Before you order, measure:
- The width and height of all doors the equipment needs to pass through (building entrance, bakery entrance, etc.)
- The width of hallways and corridors
- The available floor space for each piece of equipment
- The ceiling height (especially for rotary ovens and tall mixers)
- Staircases or elevators (if the equipment needs to go to an upper floor)
Add 10-15cm (4-6 inches) of clearance on all sides for ventilation and maintenance. If the equipment is 80cm wide, you need at least 100-110cm of space. Don't try to squeeze equipment into a space that's too small — it will overheat, be hard to clean, and be dangerous to operate.
3. Plan Your Layout
Before your equipment arrives, plan your bakery layout. Think about the flow of production: ingredients come in, get mixed, divided, shaped, proofed, baked, cooled, and packaged. Each step should flow logically to the next, with no backtracking or crossing paths.

Draw your layout on paper or use a free online tool. Measure everything and make sure it fits. It's much easier to change a drawing than to move 500kg equipment after it's been delivered.
4. Check Your Floor Capacity
Commercial bakery equipment is heavy. A 60kg spiral mixer might weigh 300-400kg. A rotary oven can weigh 800-1,500kg. If your bakery is on an upper floor, make sure your floor can support the weight. Most commercial building floors can handle 300-500kg/m², but older buildings or residential conversions might have lower capacity.
If you're unsure, have a structural engineer check your floor. This is especially important for heavy equipment like ovens and large mixers. You don't want to find out your floor can't support the equipment after it's been delivered and installed.
Shipping: Getting Your Equipment from China to Your Bakery
Choosing the Right Shipping Method
There are three main shipping methods for international bakery equipment:
1. Sea Freight (Most Common)
Sea freight is the most economical option for large or heavy equipment. It's also the slowest — typically 25-45 days depending on the destination.
Container options:
- 20-foot container (20GP): 5.9m × 2.35m × 2.39m, capacity about 28 tons. Good for 1-3 large pieces of equipment or several smaller machines.
- 40-foot container (40GP): 12.0m × 2.35m × 2.39m, capacity about 26 tons. Good for full bakery setups or multiple large machines.
- 40-foot high cube (40HQ): 12.0m × 2.35m × 2.69m, capacity about 26 tons. Same as 40GP but taller, good for tall equipment like rotary ovens.
- LCL (Less than Container Load): If your equipment doesn't fill a container, you can share a container with other shipments. This is cheaper for small orders but takes longer and has a higher risk of damage.
Sea freight transit times (approximate):
- China to West Africa (Lagos, Abidjan): 25-35 days
- China to East Africa (Mombasa, Dar es Salaam): 20-30 days
- China to Southeast Asia (Ho Chi Minh, Bangkok, Jakarta): 7-15 days
- China to Middle East (Jeddah, Dubai, Alexandria): 15-25 days
- China to South America (Santos, Buenos Aires): 30-45 days
2. Air Freight (Fast but Expensive)
Air freight is much faster (3-7 days) but significantly more expensive — typically 5-10 times the cost of sea freight. It's only economical for small, urgent orders or spare parts. For most bakery equipment, sea freight is the better choice.
3. Land Freight (For Neighboring Countries)
If you're in a country that shares a border with China (like Vietnam, Thailand, Myanmar, Kazakhstan, etc.), land freight by truck or train might be an option. It's faster than sea freight (5-15 days) and cheaper than air freight, but availability and cost vary by location.
Understanding Shipping Terms (Incoterms)
Shipping terms (Incoterms) define who is responsible for the equipment at each stage of shipping and who pays for what. The most common terms for equipment exports are:
- EXW (Ex Works): The seller makes the equipment available at their factory. The buyer is responsible for everything else — loading, transport to port, export clearance, sea freight, import clearance, and delivery to the bakery. This is the cheapest term for the buyer but requires the most work.
- FOB (Free On Board): The seller delivers the equipment to the port of origin and pays for loading onto the ship. The buyer pays for sea freight, insurance, import clearance, and delivery. This is the most common term for equipment exports.
- CIF (Cost, Insurance, and Freight): The seller pays for sea freight and insurance to the destination port. The buyer is responsible for import clearance and delivery from the port. This is convenient for the buyer but the seller might choose the cheapest (and slowest) shipping option.
- DDP (Delivered Duty Paid): The seller handles everything — shipping, insurance, export and import clearance, duties, and delivery to the bakery. This is the most convenient for the buyer but also the most expensive, and it can be risky if the seller doesn't know your country's import regulations.
For most international buyers, FOB is the best balance of cost and convenience. You control the shipping (you can choose your own freight forwarder), and the seller handles the export side. If you're new to importing, ask your supplier to recommend a freight forwarder who handles shipments to your country regularly.
Packaging: How Equipment Should Be Packed for International Shipping
Proper packaging is essential to prevent damage during shipping. Here's what good packaging looks like:
- Wooden crates: All equipment should be packed in sturdy wooden crates, not just cardboard boxes. The crates should be made of solid wood (not particle board) and reinforced with metal corners.
- ISPM 15 compliance: Wooden crates used for international shipping must be ISPM 15 certified (heat-treated or fumigated to prevent the spread of pests). If your crates aren't ISPM 15 certified, they might be rejected at customs or require expensive treatment on arrival.
- Foam padding: The equipment should be wrapped in foam padding inside the crate to prevent movement and absorb shocks. Pay special attention to protruding parts like control panels, handles, and conveyor belts.
- Vapor barrier: For sea freight, equipment should be wrapped in a vapor barrier (plastic sheeting) with desiccant packs inside to prevent moisture damage during the long sea voyage.
- Secure fastening: The equipment should be bolted or strapped to the base of the crate to prevent movement. If the equipment can shift inside the crate, it will get damaged.
- Clear labeling: Each crate should be clearly labeled with the buyer's name, destination port, crate number, weight, dimensions, and "Fragile" and "This Side Up" labels.
Before your equipment ships, ask your supplier for photos of the packaged equipment. This gives you a chance to verify that the packaging is adequate before the equipment leaves the factory. If the packaging looks inadequate, ask them to repack it — it's much cheaper than repairing damaged equipment.
Container Loading: Making Sure Everything Fits and Is Secure

- Weight distribution: Heavy items should be placed at the bottom and toward the front of the container (near the cab). Lighter items on top. This prevents the container from being top-heavy or unbalanced.

Customs Clearance: Getting Your Equipment Through Customs
Customs clearance is often the most frustrating part of international shipping. Here's how to make it as smooth as possible.
Documents You'll Need
Make sure you have all the required documents before the equipment arrives. The exact requirements vary by country, but these are the most common:
- Commercial Invoice: Shows the value of the equipment, which is used to calculate import duties and taxes. Make sure the invoice is accurate — undervaluing equipment to save on duties is illegal and can result in fines or seizure.

Understanding Duties and Taxes
Import duties and taxes vary widely by country and by product type. For bakery equipment, typical duties range from 0% to 25%, depending on the country. Some countries offer duty exemptions for food processing equipment as a way to encourage local food production.
To estimate your duties and taxes:
- Find the HS (Harmonized System) code for your equipment. Your supplier should be able to provide this. Common codes for bakery equipment include 8438.10 (bakery machinery), 8514.10 (industrial ovens), and 8438.80 (other food processing machinery).
- Look up the duty rate for that HS code in your country. You can usually find this on your customs authority's website, or ask your customs broker.
- Calculate: Duty = Equipment Value × Duty Rate
- Calculate VAT/GST: (Equipment Value + Duty) × VAT Rate

What to Do If There's a Problem at Customs
Even with perfect paperwork, customs problems can happen. Here's what to do:
- Stay calm: Most customs problems are solvable. Getting angry or frustrated won't help.
- Work with your broker: Your customs broker is your best resource for resolving customs issues. They know the system and know who to talk to.
- Provide additional documents: Customs might ask for additional documents like product specifications, photos, or end-user certificates. Provide them promptly.
- Be prepared to pay additional fees: Sometimes customs assesses additional duties or fines. It's often cheaper to pay and get your equipment released than to fight it (even if you think you're right).
- Learn from the experience: If you had a customs problem, make a note of it so you can avoid it next time. Share the information with your supplier so they can improve their documentation.
Receiving and Unloading Your Equipment
Inspect Before You Sign
When your equipment arrives, inspect it carefully before signing the delivery receipt. Here's what to check:
- External crate condition: Check for visible damage — crushed corners, broken wood, water stains, or signs of the crate being dropped. Take photos of any damage.
- Seal integrity: If the container has a security seal, check that it's intact and matches the seal number on your documents. If the seal is broken or the number doesn't match, note it on the delivery receipt and take photos.
- Quantity: Count the crates and make sure the number matches your packing list.
- Markings: Check that the crates are labeled with your name and destination.
If you see any damage, note it on the delivery receipt before signing. Write "Received with visible damage" or "Subject to inspection" and describe the damage. If you sign without noting damage, it's much harder to file an insurance claim later.
Unloading: Have the Right Equipment and People
Bakery equipment is heavy and awkward to move. Make sure you have the right equipment and people to unload it safely:
- Forklift or pallet jack: Most crates are too heavy to move by hand. You'll need a forklift (for very heavy items) or a pallet jack (for items under 1,000kg). If you don't have one, rent one or hire a moving company.
- Ramps: If you're unloading from a truck, you'll need a ramp to get the crates down to ground level. Make sure the ramp is strong enough for the weight.
- Enough people: Have at least 3-4 people available for unloading. One to operate the forklift/pallet jack, and 2-3 to guide and stabilize the load.

Once the crates are in your bakery, unpack them carefully:
- Read the manual first: Each piece of equipment should come with an instruction manual. Read the unpacking and installation section before you start.

- Check the results: Evaluate the quality of the output. Is the dough mixed properly? Are the divided pieces consistent? Is the baking even? Adjust settings as needed.
- Run a full batch: Once you're satisfied with the small batch, run a full production batch. Monitor the machine closely during the first full batch.
- Train your staff: Make sure the people who will be operating the equipment are trained on its proper use, cleaning, and maintenance. Don't assume they'll figure it out — proper training reduces mistakes and extends equipment life.

- Limited local expertise: If you don't have access to qualified electricians, plumbers, or technicians in your area, professional installation from the supplier or a third party is worth the cost.
- Time constraints: If you need to get your bakery up and running quickly, professional installation is faster than doing it yourself.
- Warranty requirements: Some equipment warranties require professional installation. Check your warranty terms before installing equipment yourself.
Many suppliers offer installation services for an additional fee. This typically includes a technician flying to your location to install and commission the equipment. The cost is usually $1,000-3,000 plus travel expenses, and it takes 3-7 days depending on the complexity of the installation. If you're setting up a complete bakery, this can be a worthwhile investment.
After Installation: What's Next?
Keep All Documentation
Keep all equipment documentation in a safe place. This includes:
- Instruction manuals
- Warranty cards
- Certificates of conformity
- Electrical diagrams
- Spare parts lists
- Installation records
- Maintenance logs
Having these documents will make it much easier to get warranty service, order spare parts, and troubleshoot problems. Make digital copies and store them in the cloud so you don't lose them if the physical copies are damaged.
Set Up a Maintenance Schedule

- Daily: Cleaning, visual inspection, lubrication (if required)

- Order parts through them: When you need spare parts, order them from your supplier rather than trying to find them locally. They know the equipment and can provide the correct parts.

Common Shipping and Installation Problems (and How to Avoid Them)
Problem 1: Equipment Damaged in Shipping
